1. Introduction

These Terms of Service ("Terms") govern your access to and use of RugbyPro (the "Service"), a rugby club management platform provided by RugbyPro. By creating an account, provisioning a club, or otherwise using the Service, you agree to these Terms. If you do not agree, you must not use the Service.

2. Eligibility

You must be legally able to enter into a binding agreement. If you are registering a club on behalf of an organisation, you represent that you are authorised to do so and to bind that organisation to these Terms.

3. Account registration

You must provide accurate and complete information when registering. You are responsible for maintaining the security of your account credentials and for all activity under your account. Accounts are provided by the platform's authentication system; RugbyPro does not store your password.

4. Club administrator responsibilities

The person who provisions a club becomes its club administrator. Club administrators are responsible for:

inviting and managing club members and staff appropriately;
ensuring the club has the right to use RugbyPro for its administration;
ensuring that all data entered about players, staff and members is lawful and accurate;
managing who within the club has access to the Service.

5. Acceptable use

You agree not to misuse the Service. You must not enter unlawful content, infringe the rights of others, attempt to access other clubs' data, disrupt the Service, or use the Service for any unlawful purpose. RugbyPro is a club management tool and is not intended for any other use.

6. RugbyPro software / service

RugbyPro provides software to help rugby clubs manage players, squads, fixtures, training, match day, statistics, medical records, club administration, financial records and related functions. The Service is provided on a software-as-a-service basis. RugbyPro may update, add or remove features over time.

7. Free trial

New clubs may receive a limited-duration free trial. The trial provides access to the Service for evaluation. Trial length and availability may change. A trial is a status, not a commercial plan, and does not constitute a paid subscription.

8. Paid subscriptions

Following a trial, continued use of the Service may require a paid subscription. Subscription plans, billing intervals and pricing are presented within the Service. Pricing and plans may change; changes will be communicated through the Service.

9. Payment terms

Where online payment is available, payments are processed by a third-party payment provider. Details of the active payment provider and accepted methods will be shown within the Service at the time of payment. Until online payment is available, subscription activation is handled manually by RugbyPro. You authorise RugbyPro (or its payment provider) to charge the agreed fees for your selected plan.

10. Cancellation

You may cancel your subscription. Cancellation stops future renewal. Access continues until the end of the period you have already paid for. Refunds, where applicable, are handled in accordance with the policy presented with your plan and applicable law.

11. Suspension / termination

RugbyPro may suspend or terminate access where a subscription lapses, where these Terms are breached, where required for security, or where required by law. Upon termination, your right to use the Service ends. RugbyPro may retain data after termination as needed for legal, accounting or operational reasons, and in accordance with the Privacy Policy.

12. User content and club data

You retain ownership of the club data you enter (players, staff, fixtures, medical, financial and other records). You grant RugbyPro a licence to host, store and process that data solely to provide the Service. You are responsible for the accuracy and lawfulness of the data you enter.

13. Intellectual property

The RugbyPro software, branding, design and interface are the property of RugbyPro or its licensors. These Terms do not grant you any rights to the Service other than a limited right to use it in accordance with these Terms.

14. Third-party services

The Service may integrate with or rely on third-party services. RugbyPro is not responsible for the behaviour of third-party services, and your use of them is subject to their own terms.

15. Availability and service interruptions

RugbyPro aims to provide a reliable Service but does not guarantee uninterrupted access. Maintenance, updates, network issues and events outside RugbyPro's control may cause interruptions. Where possible, RugbyPro will communicate scheduled maintenance.

16. Backups and data responsibility

RugbyPro provides backup tools within the Service. However, you are ultimately responsible for your club data. You are encouraged to use the available export/backup features. RugbyPro is not liable for data loss arising from circumstances beyond its control or from failure to use available backup tools.

17. Medical / sports information disclaimer

The Service allows clubs to record sensitive player medical and sports-science information. RugbyPro provides the software platform only. RugbyPro is not a healthcare provider, and information stored in the Service is not a substitute for professional medical advice. Clubs are responsible for the lawful collection and use of medical information and for ensuring only appropriately authorised personnel access it.

18. Financial information disclaimer

Financial records entered by clubs (income, expenses, fees, payments) are administrative records provided by the club. RugbyPro is not an accounting or tax advisor, and the Service does not provide financial, tax or audit advice. Clubs are responsible for the accuracy of their own financial records and for any statutory reporting.

19. Limitation of liability

To the maximum extent permitted by law, RugbyPro's liability for any claim arising out of the Service is limited to the amount you have paid for the Service in the preceding twelve months (or, where no payment has been made, to a nominal amount). RugbyPro is not liable for indirect or consequential losses.

20. Indemnification

You agree to indemnify RugbyPro against claims arising from your misuse of the Service, from data you enter, or from your breach of these Terms or of applicable law (including privacy and data-protection law).

21. Changes to the service

RugbyPro may modify, add or remove features of the Service. Material changes will be communicated through the Service where practicable.

22. Changes to these Terms

RugbyPro may update these Terms. The "Last Updated" date above reflects the most recent version. Continued use of the Service after changes constitutes acceptance of the updated Terms.

23. Governing law

These Terms are governed by the laws of the jurisdiction in which the RugbyPro operator is established. The applicable jurisdiction, and any mandatory consumer-protection rights in your country of residence, may also apply.
